Administration Assistant

Why does this role exist?

As Packsify grows, so does the complexity behind our operations. From managing financial data and tracking partner payments to organizing meetings and supporting legal processes — there’s a lot happening behind the scenes.

That’s why we’re looking for a highly organized, detail-driven Administration Assistant to support our internal teams, ensure data is clean and up to date, and keep workflows moving across Finance, Operations, and Strategy.

This is a cross-functional role that requires consistency, strong communication, and a proactive mindset. You’ll work closely with leadership, team leads, and external partners — keeping key processes on track and supporting decision-making with accurate reports and documentation.

When It’s Done Right

  • Financial data and reporting sheets are accurate and always up to date.
  • Payment workflows, partner disputes, and legal tasks are handled smoothly.
  • ClickUp and Google Sheets are organized, consistent, and useful.
  • Recurring responsibilities (P&L prep, vacation tracking) run without reminders.
  • Internal and external stakeholders get timely updates and info they can trust.
  • You catch issues early and suggest better ways of doing things.

What You’ll Actually Do

  • Data Management: Export, organize, and report daily finance and payment info.
  • Process Tracking: Monitor P&L inputs, supplier transfers, and high-risk actions.
  • Documentation: Keep dispute logs, processor data, and contracts up to date.
  • Coordination: Track vacations, support meetings, and follow up with partners.
  • Workflow Maintenance: Maintain ClickUp and Google Sheets used across teams.
  • Support Projects: Help visualize reports, ads performance, or tool data.

  • You’ve worked 1–2+ years in admin, operations, finance coordination, or similar roles.
  • You’re confident with spreadsheets and tools like ClickUp, Google Sheets, or Airtable.
  • You’re organized, thorough, and don’t miss small but important details.
  • You can balance daily tasks with recurring monthly/quarterly ones.
  • You work independently and communicate proactively.
  • You’re excited by systems and supporting teams behind the scenes.
  • Bonus: You’ve handled financial reports or cross-department coordination before.
